Why are some balances missing from certain nominal codes after importing from RAP to Bright AP?
This issue occurs because the missing balances are Bookkeeping (BK) Transactions in RAP.
When selecting the Import Trial Balance option, the system imports Current Year Journals, Compliance Data, and Comparative Balances. However, Bookkeeping Transactions (BK) are not included in this import, which causes differences in nominal codes.
Key Information:
- The only import option that includes BK Transactions is the Full Dataset Import.
- The Full Dataset Import requires a BK Licence, which can be purchased by contacting your sales representative.
The system is functioning as designed, and there is no issue with the import routine.
Steps to Resolve the Issue:
Option 1: Manually Post Journals to Adjust for Missing BK Transactions
- Export the Trial Balance (TB) from RAP.
- Compare it with the TB in Bright AP.
- Manually post journals in Bright AP to adjust the differences caused by the missing BK transactions.
Option 2: Import Comparatives Only and Enter Current Year Figures
If the client is not connected to Bright Books:
- During Import: Select the option for Comparative Balances Only.
- Export your TB from RAP into Excel.
- After importing the dataset, go to Settings > Data > Imports > Journals. Copy and paste the figures from the exported RAP TB into Bright AP.
Option 3: Manually Post the Opening TB
If there is not much data to enter:
- Navigate to Nominal Ledger > Journals > New.
- Set the type to Opening Balance.
- Manually post the opening TB balances.
