If a client was originally set up as a Partnership and has since been changed to a Sole Trader, some nominal codes may still be linked to the Partnership chart of accounts.
These nominals may appear highlighted in purple in the Trial Balance because they are not available for the current Sole Trader entity type.
The affected balances need to be transferred to an appropriate Sole Trader nominal code.
Transfer a Partnership Nominal Code
- Open the relevant Client/Dataset.
- Go to Nominal Ledger > Trial Balance.
- Identify the nominal codes highlighted in purple.
- Highlight the relevant nominal code.
- Open the dropdown menu.
- Select Transfer.
- Select the appropriate Copy from Code for the Sole Trader nominal.
- Save the change.
The balance will then be transferred to the selected Sole Trader nominal code and should appear correctly in the accounts.
If the Balance Is No Longer Required
If the balance on the Partnership nominal is not required and should not be included in the Sole Trader accounts:
- Highlight the relevant purple nominal code.
- Select Transfer.
- Select the appropriate Copy from Code.
- Once the nominal has been transferred, review the transactions associated with the balance.
- Delete the transactions if they are no longer required.
Important: Only delete transactions where you have confirmed that the balances are not required. If the transactions represent genuine historical activity, transfer them to the appropriate Sole Trader nominal rather than deleting them.
