Steps
- Staff access to E-Signing is determined in Practice Settings. To enable a staff member to use E-Signing go to ‘Staff’ on the left panel.
- Using the drop down to the right of the staff member select ‘Practice Permissions’.
- From within Practice Permissions select ‘Send Documents for E-Signing’.
- This user now has access at a practice level to use E-Signing functionality. You can also enable access by clicking on the Grey E-Sign icon; if the staff member does not have permissions from the Practice to Send documents for E-Signing a pop up will appear advising of such. You can select ‘Enable’ on this pop up to give this staff member permission to use E-Signing.
- Once the staff member has practice permissions to use E-Signing they will need to be verified by HelloSign as an authorised sender. In order to send documents for signing the Bright Accounts Production user must be verified as an authorised sender by HelloSign. To do this, click on the Grey Enable E-Sign Icon, a confirmation pop up will appear.
- First, you will need to decide if you want to use your own email server to send and receive emails, or if you would like to continue to allow BrightBooks to send emails on your behalf.
- BrightAccountsProduction uses sendgrid, a cloud smtp provider to send emails. This means that you do not need to enter your own email server, username, passwords, ports etc. Sendgrid will handle all email requests on your behalf. The emails appear in the receiver’s inbox as from the email you have used to log in to BrightAccountsProduction, ensuring no confusion for the receiver. If you want BrightAccountsProduction to continue to send emails on your behalf as normal select OK on the above message, if you want to use your own server details select ‘Advanced’.
NOTE: Previously, when user sent an Email from BrightAccountsProduction, the sender
details would include the email address provided in the Basic E-mail Settings. If there
is no email address present in Basic E-mail Settings, the sender details would include
the email address used for logging in to the application. Currently, Emails sent from
BrightAccountsProduction will now be sent “from” ‘no-reply@brightsg.com’. - Enter Outgoing mail server, port, encryption connection type, user name and password. If you do not know these details you will need to contact your IT or email provider, Bright Accounts Production has no way of assisting with this information. When all of the above details have been entered select ‘Save’.
- You will then be notified that the account details need to be verified by HelloSign; select Verify.
- After selecting Verify you will be notified that an email has been sent to the staff member selected.
- The email will come from that staff members own email address; they will need to click on the link provided in the email. By clicking on the link provided the user will verify their account with HelloSign.
- The E-Sign icon will become Green on the staff screen when the user has been successfully verified. This staff member can now send documents and request signatures.
